AI automation for small businesses: 5 concrete examples

What AI can really take over in a small business's office work: five concrete examples, where it pays off, where it doesn't, and why a human always approves.

"AI" sounds like big corporations. In a small business's daily life, though, it's usually about something very down-to-earth: repetitive typing and sorting nobody enjoys. Here are five examples that work reliably today.

Five examples

  1. 01

    Reading invoices

Incoming PDF invoices are read: supplier, amount, date, due date. You just check and approve.

  2. 02

    Sorting and preparing emails

Requests are sorted by topic and a reply is drafted. You read, adjust, send.

  3. 03

    Reconciling data

Shop orders, incoming payments and accounting are compared, mismatches flagged.

  4. 04

    Preparing quotes

A customer request turns into a draft quote with the right line items.

  5. 05

    Texts in several languages

Product or website texts are prepared for a second language, then checked by a person.

Where AI doesn't pay off (yet)

  • Tasks that rarely happen: setup costs more than it saves
  • Where mistakes are expensive and nobody checks the result
  • When the data is chaotic: tidy up first, then automate

My principle: the machine prepares, a human decides

Good automation is traceable. Every step is logged, and anything that leaves the company or moves money is approved by a person. My own product Kelyvaro works the same way: it prepares applications, but nothing is sent without consent and no experience is invented.

And data protection?

Which data goes to which service is decided upfront. Where possible, steps run on servers in the EU, and only data needed for the task is processed.
